How appointments are arranged, what to bring, and the clinic’s policies on changes, non-attendance and correspondence.
Booking a new appointment
Submitting a referral or an online request does not by itself confirm an appointment. The clinic reviews the referral first.
Step 1: Obtain the referral your service requires
Speak with your GP or another appropriate medical practitioner. A valid referral is required for a new psychiatric appointment and to claim eligible Medicare rebates.
Step 2: Contact the clinic
Contact reception to begin the process. Online booking is also available through HotDoc for both new and existing patients.
Step 3: Send your referral by email
Please ask your referrer to email your referral to reception@wolpsychmed.com.au. Include the name of the psychiatrist. If you have privacy concerns, contact reception before sending documents.
Step 4: The clinic reviews the referral
Each referral is reviewed before an appointment is offered. Submitting a referral or an online request does not by itself confirm an appointment.
Step 5: Your appointment is confirmed
If the referral is accepted, reception contacts you to arrange a time and explains any deposit required to hold the booking.
Preparing for your appointment
Please have available:
- your Medicare and contact details
- a current list of medicines and doses
- relevant medical or mental-health reports
- recent pathology or investigation results, if requested
- completed questionnaires requested by the clinic
- details of your GP and other treating practitioners

All appointments are offered in person, and telehealth services are not currently available.
Appointment reminders
An SMS reminder is sent approximately one week before your scheduled appointment. If you would prefer a different arrangement, please contact our administration team.
Reminders are a courtesy. Appointments remain your responsibility whether or not a reminder is received.
Changes and cancellations
If you need to change or cancel an appointment, please contact the clinic as early as possible and confirm the change in writing by email to reception@wolpsychmed.com.au.
A minimum notice period applies, and a fee may apply to late changes. Reception confirms the current notice period and any applicable fee when your appointment is booked, and it is also set out in your booking confirmation. If you are unsure, please ask reception before your appointment.
Fees for late cancellation are not eligible for a Medicare rebate.
Non-attendance
If you do not attend a scheduled appointment, a fee may apply and fees already paid may be affected. Reception explains the current policy when your appointment is booked.
Where a charge remains outstanding, an invoice will be issued. A new appointment may not be offered until outstanding accounts are resolved. Fees for missed appointments are not eligible for a Medicare rebate.
Correspondence, prescriptions and reports
Routine correspondence is sent to your referring practitioner with your consent, subject to legal and safety obligations. Reports are usually sent within approximately two weeks, though timing varies with the type of assessment.
Requests for additional letters, forms, reports, record transfers or work outside the consultation may attract a fee and require additional time.
Prescription requests are subject to clinical review and cannot always be completed urgently. Please request repeats before your medication runs out.
Transfer of records or correspondence
To have your records or correspondence sent to another healthcare provider, please contact reception. You will be asked to provide a Consent to Transfer Form, which must be returned to our practice by the requesting healthcare provider with your signature and date.
Email and referral enquiries
Because our reception hours are limited, telephone contact can be difficult. Email is our preferred method for general administrative enquiries. Referrals can also be sent to reception by email — see information for referrers for the requirements. Our inbox is not monitored for urgent assistance. If you need urgent help, see urgent support.
